Manage households, organizations, contacts, and properties
Keep a simple customer fast while supporting households, commercial accounts, shared contacts, payers, and multiple cleaning locations.
The default Cleanr customer remains one person and one home. Add relationship detail only when the work requires it.
Choose the account type
Open the customer on web, choose Relationship, and select:
- Individual for one person;
- Household for people who share a customer relationship; or
- Organization / commercial for a company with service locations.
An organization has its own name instead of forcing company data into a person-name field.
Add contacts and roles
Add a contact's name and available phone or email. Assign a role such as homeowner, tenant, property manager, billing contact, access contact, or emergency contact. Before creating a lookalike, choose Link existing contact and search by name, email, or phone. Results mask channel details, paginate in a stable order, and show how many accounts already share the person. Confirm the shared-record warning, choose the role, and link it. The server rechecks the account version and shared-link count so a stale search cannot silently attach the wrong relationship.
The primary contact remains the safe default for released screens that expect one customer phone or email. Additional channel values stay contact-specific. Consent, opt-outs, quiet hours, and invalid-channel states also belong to the contact—not to an arbitrary custom role.
Custom roles are labels only. They do not grant portal or staff authorization.
Add service properties
Give each property a useful label and address. Choose one active primary property for legacy scheduling. A commercial account can distinguish a headquarters or billing location from service locations, and a property manager can retain links to many homes. Choose Link existing property to search a masked, paginated tenant directory and reuse a location already on file. Confirm the shared-record warning and choose whether the link is a service, headquarters, or billing location. A primary link must be a service location.
Appointments and quotes select the service property. Invoices can retain an explicit property and recipient while preserving the original recipient snapshot. A property's payer can differ from its service contact.
On iPhone, open a customer and choose Properties & Contacts for the native property workflow. On mobile Customer CRM → Relationships explains the entry point without nesting customer sheets.
Protect access instructions
Door, alarm, and lockbox details are operational secrets. They stay encrypted, masked by default, role-restricted, and audited when revealed. They are not included in ordinary notes, analytics, duplicate matching, full-text search, exports, marketing captures, or push notifications.
Archive a property instead of deleting it when history still refers to that location. Use Make primary contact or Make primary property to change a legacy default. The command requires a fresh online read, uses a stable retry identity, and is never queued for later offline replay.
